Candidates experience slow hiring as disrespect. Recruiters experience it as a calendar full of waiting rooms. The search is rarely what takes months. The bottlenecks are approvals, calendars, money, politics, and compliance queues that sit outside the interview loop.
Here are the five delays that eat the most time, and what to change if you actually want speed.

Multiple approvals
What stalls: Req open, offer letter, leveling exception, title change, remote exception, agency spend. Each stamp has a different owner and a different SLA, which often means no SLA.
Why it happens: Risk and cost control. Nobody wants to be the person who greenlit a bad hire or an off-band offer alone.
What it costs: Strong candidates accept elsewhere while finance “takes a look Monday.” The market reads delay as soft interest.
Fix: Pre-approve a band and level at intake. Name one offer approver with a 24-hour rule. Log exception requests in one queue, not five email chains.
Busy hiring managers
What stalls: Intake meetings slip. Feedback sits in drafts. Panels get rescheduled twice. Final debriefs wait for someone on a customer trip.
Why it happens: Hiring is critical and still treated as optional next to revenue work. Managers underestimate the hours a real loop needs.
What it costs: Recruiter pipeline goes stale. Candidates ghost after the third reschedule. Panels interview different versions of the same person weeks apart.
Fix: Block interview hours on the calendar when the req opens, not when the shortlist appears. Scorecards due same day. A deputy who can debrief if the HM is out.
Budget changes
What stalls: Mid-search freezes, band cuts, headcount reshuffles, “pause posting but keep talking,” or a sudden switch from senior to mid without rewriting the JD.
Why it happens: Forecasts move. Leadership uses open reqs as a flexible cost dial.
What it costs: Recruiters keep selling a role that no longer exists. Candidates invest in a process that was already dead. Employer brand takes the hit, not the budget owner.
Fix: If budget moves, unpublish within 24 hours and message active candidates the same day. Restart with a new req ID when the seat is real again. Do not run a courtesy process on a frozen seat.
